Role & Permissions Policy

At Ease Parent is designed around shared care. This policy explains how roles and permissions work so the right people can access the right information. The goal: Everyone knows the plan — without oversharing family information.

1. Core Permission Principle

Share only what each helper needs to know.

The app should not feel like surveillance. It should not give unnecessary access, and should not make family information visible to people who no longer need it.

2. Recommended Roles

Parent / Guardian — Default highest-level role. Can create the household, add children, edit child details, invite people helping, assign permissions, create routines, manage handoffs, view all household details, delete household information, and request deletion of child data.

Co-Parent — Can be given broad or limited access depending on household setup, such as viewing child details, managing the schedule, adding routines, submitting handoffs, viewing pickup plans, managing shared household handoffs, and inviting helpers if permitted.

Nanny / Caregiver — Can access assigned family and child details, including care details, schedules, pickup/drop-off plans, caregiver instructions, submitting daily handoffs and weekly summaries, marking supplies running low, adding notes, and viewing assigned children only.

Grandparent — Usually limited helper access, such as viewing the schedule, pickup details, emergency contacts, caregiver instructions, submitting simple handoffs, and viewing assigned child details.

Babysitter — Usually temporary or limited access, such as viewing care instructions, emergency contacts, bedtime or evening routine, submitting handoff notes, and accessing temporary care details.

Backup Pickup Helper — Very limited access, such as pickup time, pickup location, child name, authorized pickup instructions, emergency contact, and time-limited information.

After-School Caregiver — May view the school pickup plan, activity schedule, snack/homework instructions, and submit an after-school handoff.

Household Manager — May view the schedule, manage reminders, add routines, coordinate supplies, manage household logistics, and access selected child details.

Occasional Helper — Limited, time-bound access to only the specific details needed for a specific care moment.

3. Permission Types

At Ease Parent supports permission settings such as: view household overview; view assigned children only or all children; view child care details, school schedule, pickup/drop-off details, food preferences, allergy/sensitivity notes, emergency contacts, caregiver instructions, and routines; add or edit routines; add reminders; submit handoffs; view handoff history; mark supplies as running low; upload attachments; invite or remove helpers; manage permissions; grant temporary access; and export or download information.

4. Permission Defaults

Parent/Guardian and Co-Parent typically receive full or near-full access, unless the household admin limits it. Nanny/Caregiver access covers assigned child care details, schedule, routines, pickup plan, handoffs, and caregiver instructions. Grandparent access is limited to schedule, pickup details, emergency contacts, and relevant routines. Babysitters receive temporary access to care instructions, emergency contacts, and the current routine. Backup Pickup receives time-limited access to pickup details only. Occasional Helpers receive the minimum access necessary.

5. Temporary Access

At Ease Parent allows parents to give temporary access — for one evening, one pickup, one weekend, one week, or a custom date range.

Temporary access helps a helper see what they need for a specific care moment — without keeping long-term access.

6. Access Removal

Parents and household admins can remove a helper at any time. When access is removed, the helper no longer sees the household or child-related information, though they may retain access to their own account. Past handoffs may remain visible to parents or household admins as part of the family's care history.

Remove Helper: This person will no longer be able to see your family plan or child care details. Past handoffs may remain in your household history.

7. Permission Review

At Ease Parent prompts household admins to review permissions regularly — recommended monthly, after a caregiver is inactive, after a season change, after a shared household change, before back-to-school, or before summer or holiday travel.

Review who can see your family plan. A quick access check helps keep family care details shared with the right people.

8. Permission Audit Log

At Ease Parent maintains an internal or user-visible permission log where feasible, tracking who was invited, who accepted, who changed permissions, when access was removed, what role was assigned, and temporary access expiration. This supports trust and helps resolve household access questions.
