At Ease Parent LLC ("At Ease Parent," "we," "our," or "us") respects your privacy and understands that family care information is deeply personal.

At Ease Parent is a family readiness app that helps parents, guardians, nannies, caregivers, co-parents, grandparents, sitters, and helpers organize routines, reminders, handoffs, schedules, pickup plans, and care details in one shared place.

Our promise is simple:

You don't have to hold it all alone.

That also means you should understand what information you share with us, how we use it, who can see it, and what choices you have. This Privacy Policy explains how we collect, use, share, store, and protect information when you use the At Ease Parent app, website, emails, digital tools, or related services.

1. Who This App Is For

At Ease Parent is intended for use by adults, including parents, legal guardians, nannies, caregivers, co-parents, grandparents, babysitters, household managers, and other adults helping care for children.

At Ease Parent is not intended for children to create their own accounts unless specifically permitted by applicable law and approved by a parent or legal guardian.

Parents, guardians, or authorized caregivers may enter child-related information into the app so family care can be coordinated more clearly.

2. Information We Collect

We collect information you provide directly, information created through your use of the app, and limited technical information needed to operate, protect, and improve the service.

A. Account Information

When you create an account, we may collect:

  • Name
  • Email address
  • Phone number, if provided
  • Password or login credentials
  • Authentication method, such as Google sign-in, Sign in with Apple, or other login provider
  • Profile photo, if added
  • Role in the app, such as parent, nanny, caregiver, co-parent, grandparent, sitter, or helper

B. Household and Family Information

When you create or join a family plan, we may collect:

  • Household name
  • Parent or guardian names
  • Household members
  • People helping the family
  • Roles and permissions
  • Shared household or co-parenting details
  • Backup caregiver information
  • Emergency contacts
  • Family routines
  • Family schedules
  • Weekly planning details

C. Child-Related Information

Parents, guardians, or authorized caregivers may enter child-related information, such as:

  • Child name
  • Age, grade, or school year
  • School name
  • Teacher or classroom information
  • School schedule
  • Pickup and drop-off details
  • Authorized pickup adults
  • Lunch and snack preferences
  • Food preferences
  • Allergy or sensitivity notes, if provided
  • Routine notes
  • Clothing, uniform, or activity notes
  • Homework or reading notes
  • Comfort notes
  • Activity schedules
  • Caregiver instructions
  • Emergency contacts
  • Other care details a parent, guardian, or authorized caregiver chooses to add

Child-related information is used to provide family readiness and care coordination features. We do not sell child-related information.

D. Caregiver and Nanny Information

If you use At Ease Parent as a nanny, caregiver, sitter, grandparent, co-parent, or helper, we may collect:

  • Name
  • Email address
  • Phone number, if provided
  • Role
  • Families or households you are invited to support
  • Assigned children
  • Permissions granted by a parent or household admin
  • Handoff notes
  • Weekly caregiver summaries
  • Availability or schedule details, if provided
  • Care notes you submit
  • Communication preferences

E. Handoff and Communication Information

The app may collect information shared through handoffs, notes, reminders, and messages, including:

  • Daily caregiver handoffs
  • Weekly caregiver summaries
  • Pickup confirmations
  • Drop-off updates
  • Food, snack, nap, activity, or homework notes
  • Supplies running low
  • Parent follow-up notes
  • Tomorrow reminders
  • Attachments or images, if the feature is enabled
  • Support requests or messages sent to At Ease Parent

F. Reminder, Notification, and Email Information

We may collect and use information needed to send:

  • App notifications
  • Weekly Family Reset reminders
  • Sunday readiness emails
  • Caregiver handoff alerts
  • Pickup or schedule reminders
  • Account and security emails
  • Product or feature updates
  • Customer support communications

You may opt out of marketing emails, but we may still send necessary account, security, or service-related messages.

G. Device, Usage, and Technical Information

When you use the app, we may collect limited technical information such as:

  • Device type
  • Operating system
  • Browser type
  • App version
  • IP address
  • General location derived from IP address
  • Log data
  • Crash reports
  • App performance data
  • Pages or screens viewed
  • Features used
  • Date and time of activity
  • Referring links or email links clicked

This information helps us operate, secure, troubleshoot, and improve At Ease Parent.

H. Payment Information

If At Ease Parent offers paid subscriptions, digital products, or paid features, payment information may be processed by a third-party payment provider. We do not store full credit card numbers on our servers unless explicitly stated and securely handled through a compliant payment processor.

Payment providers may collect:

  • Billing name
  • Billing email
  • Payment method details
  • Transaction history
  • Subscription status

I. Information Submitted to Optional AI-Assisted Features

At Ease Parent offers optional AI-assisted features (described in Section 4). When you choose to use one of these features, we may collect and process the content you submit for that feature, such as text you type to Cora, voice recordings you record for transcription, photos or images you upload for list extraction, and caregiver or handoff details needed to produce a requested summary. This content is collected only when you intentionally use an AI-assisted feature and is processed as described in Section 4. We do not transmit your personal information to third-party AI services merely because you have opened the app.

3. How We Use Information

We use information to provide, operate, personalize, protect, and improve At Ease Parent.

We may use information to:

  • Create and manage user accounts
  • Build and maintain shared family plans
  • Organize routines, reminders, schedules, handoffs, and care details
  • Allow parents or guardians to invite caregivers and helpers
  • Manage roles and permissions
  • Show caregivers the information they are authorized to view
  • Send reminders, notifications, and Weekly Family Reset emails
  • Support pickup, drop-off, caregiver handoff, and shared household coordination
  • Provide optional AI-assisted features when you choose to use them, as described in Section 4
  • Provide customer support
  • Troubleshoot technical issues
  • Improve app features and user experience
  • Maintain safety, security, and fraud prevention
  • Process subscriptions or payments, if applicable
  • Communicate important updates
  • Comply with legal obligations

We do not use child-related information for behavioral advertising.

4. Artificial Intelligence and Third-Party AI Processing

At Ease Parent offers optional AI-assisted features designed to help users organize information, transcribe voice notes, interpret uploaded lists, generate requested summaries, and provide family-readiness or caregiver-support guidance. These features are optional and require user permission before personal information is shared with a third-party AI service.

A. AI Providers Used

Based on the current production implementation, At Ease Parent uses the following AI providers:

  • OpenAI — used for voice transcription (Whisper) and for selected text-generation features, including parent and caregiver assessments, readiness insights, and assessment results.
  • Anthropic — Claude models accessed through our application platform, Base44, used for image and list extraction when you upload a photo of a printed or handwritten list.
  • Base44 AI Services — AI processing and orchestration accessed through Base44, used for features such as Cora chat and caregiver handoff summaries. For some of these features, Base44 controls the underlying model provider, and the exact provider is not directly known to us; we describe it accurately rather than guessing.

At Ease Parent currently uses OpenAI and may use additional AI processing services accessed through our application platform, Base44 (including Anthropic Claude for specific features), depending on the feature being used.

C. What Data May Be Sent to AI Providers

The information shared depends on the AI feature the user chooses to use. Depending on the feature, this may include:

  • Text entered into Cora or other AI-assisted features
  • Voice recordings submitted for transcription
  • Transcripts generated from voice recordings
  • Photos or images intentionally uploaded for list extraction
  • Printed or handwritten list content visible in an uploaded image
  • User-entered family readiness information
  • Caregiver or handoff notes
  • Child first name or care context when required for a requested summary
  • Mood or handoff information
  • Relevant care details needed to complete the user-requested AI action

Not every data type above is sent in every case. The information shared depends on the AI feature the user chooses to use.

D. How AI-Related Data Is Collected

AI-related data is collected only when you intentionally interact with an AI-powered feature, such as by:

  • Typing a message to Cora
  • Recording a voice note
  • Uploading a photo or list
  • Requesting an AI-generated handoff summary
  • Selecting an AI-assisted planning or organization feature

At Ease Parent does not intentionally transmit user data to third-party AI services merely because the user has opened the app.

E. Why AI Data Is Shared

Data is shared with AI service providers only as needed to perform the feature the user requested, such as transcribing audio, extracting information from an uploaded list, generating a summary, organizing user-provided information, or producing contextual guidance.

At Ease Parent does not share AI data for third-party advertising. At Ease Parent does not use AI data for cross-app advertising tracking. We do not make claims about a provider's independent use of data beyond what is contractually or publicly documented.

F. User Permission Is Required

Before personal information is transmitted to a third-party AI service, At Ease Parent presents an in-app disclosure and requests the user's affirmative permission. Users may decline AI processing and continue using non-AI features of the app.

AI consent is:

  • Opt-in — not required to use the app
  • Not preselected
  • Stored with the date, time, and disclosure version associated with the user's choice, where applicable

G. How to Review or Revoke AI Consent

Users may review or revoke AI data-sharing permission at any time from Settings → Privacy & AI → AI Data Sharing. After consent is revoked, At Ease Parent will stop sending new personal data to third-party AI services unless the user chooses to enable AI features again.

H. AI Data Retention

At Ease Parent retains user-generated records in accordance with our general data retention practices described in Section 12. Data processed by third-party AI providers may be retained according to the applicable provider agreement, service configuration, and provider privacy or data-retention policies. We do not state a fixed third-party retention period unless it has been verified for the specific service configuration.

I. Safeguards and Processor Obligations

At Ease Parent uses service providers to process data on our behalf for specific app functions. We seek to use providers subject to contractual, technical, and organizational safeguards appropriate to the services they provide. We limit data sharing to what is reasonably necessary for the requested function.

These safeguards include, where applicable:

  • Minimum-necessary data sharing for the requested feature
  • Access controls and authenticated backend processing
  • No sale of personal information to AI providers
  • No use by At Ease Parent of AI data for third-party advertising

We do not represent that any AI provider offers the same or equal protection as At Ease Parent unless specifically supported by applicable agreements or provider documentation.

J. Sensitive Child and Care Information

Some user-requested AI features may involve sensitive care information, such as allergies, medication events, mood, or handoff notes. At Ease Parent limits this sharing to the information reasonably necessary to complete the requested feature.

At Ease Parent does not intentionally send entire household or child profiles to AI services when the full profile is not needed for the requested action.

5. How Family Sharing and Permissions Work

At Ease Parent is built around shared care. This means certain information may be visible to people a parent, guardian, or household admin invites into a family plan.

Parents or household admins may invite:

  • Co-parents
  • Nannies
  • Caregivers
  • Grandparents
  • Babysitters
  • Backup pickup adults
  • After-school caregivers
  • Household managers
  • Occasional helpers

Parents or household admins are responsible for choosing who they invite and what information those people can access.

Permissions may allow invited users to:

  • View child care details
  • View schedules
  • View pickup and drop-off plans
  • View food preferences
  • View caregiver instructions
  • View emergency contacts
  • Submit handoffs
  • Add reminders
  • Mark supplies as running low
  • Edit routines, if allowed
  • Access only assigned children
  • Access information temporarily, if enabled

We encourage parents and household admins to invite only trusted adults and to review permissions regularly.

6. How We Share Information

We do not sell family care information.

We may share information only in the following ways:

A. With People You Invite

Information may be shared with caregivers, co-parents, nannies, grandparents, sitters, or helpers that a parent, guardian, or household admin invites into the family plan. The information they can see depends on the permissions assigned.

B. With Service Providers

We may share information with trusted service providers that help us operate At Ease Parent, such as:

  • Cloud hosting providers
  • Authentication providers
  • Email delivery providers
  • Push notification providers
  • Analytics providers
  • Crash reporting providers
  • Customer support tools
  • Payment processors
  • Security and fraud prevention providers
  • Third-party AI providers, only as described in Section 4 and only when a user has permitted AI data sharing

These providers may process information on our behalf and are expected to protect it and use it only for the services they provide to us.

C. For Legal or Safety Reasons

We may disclose information if we believe it is necessary to:

  • Comply with law, legal process, or government requests
  • Protect the rights, safety, or property of At Ease Parent, users, children, or others
  • Investigate fraud, abuse, or security issues
  • Enforce our terms or policies

D. Business Transfers

If At Ease Parent is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, user information may be transferred as part of that transaction. We will take reasonable steps to ensure continued protection of user information.

7. Children's Privacy

At Ease Parent is intended for adults who coordinate family care. Children should not create accounts unless specifically permitted by applicable law and approved by a parent or legal guardian.

Parents, guardians, or authorized caregivers may enter child-related information to help coordinate care. This may include schedules, routines, school details, pickup plans, food preferences, allergy notes, emergency contacts, and caregiver instructions.

We use child-related information only to provide family readiness, care coordination, handoff, reminder, and support features.

Child-related information may be included in a user-requested AI-assisted feature only when necessary for that requested action, as described in Section 4, and only after a user has permitted AI data sharing.

We do not knowingly sell child-related information.

We do not use child-related information for behavioral advertising.

Parents or legal guardians may request access, correction, or deletion of child-related information by contacting us at: support@ateaseparent.com

If we learn that a child has created an account without required parental consent, we will take reasonable steps to delete the account and related personal information.

8. Health, Allergy, Medication, and Emergency Notes

At Ease Parent may allow users to enter allergy notes, sensitivity notes, medication reminders, emergency contacts, or other care-related information.

This information is optional and provided by parents, guardians, or authorized caregivers.

Sensitive care information may be processed by an AI-assisted feature only when a user requests an action that requires it, as described in Section 4. At Ease Parent limits such sharing to the information reasonably necessary for the requested feature.

At Ease Parent does not provide medical advice, diagnosis, treatment, emergency services, or professional healthcare guidance.

Users should not rely on At Ease Parent as the only source of emergency, allergy, medication, or medical information. In an emergency, call emergency services or contact the appropriate medical professional.

9. Communications and Weekly Readiness Emails

At Ease Parent may send app notifications, emails, or reminders related to:

  • Weekly Family Reset
  • Sunday readiness prompts
  • Caregiver handoffs
  • Pickup plans
  • Schedule updates
  • Household invitations
  • Account activity
  • Product updates
  • Customer support

You can manage certain notification preferences in the app or by using unsubscribe links in marketing emails.

Service-related emails, such as account security, household invitations, password resets, or important app notices, may still be sent even if you opt out of marketing communications.

10. Analytics and App Improvement

We may use analytics and diagnostic tools to understand how users interact with At Ease Parent and to improve the app.

Analytics may help us understand:

  • Which features are used
  • Where users experience errors
  • App performance
  • Device and browser compatibility
  • General usage patterns

We aim to use analytics in a privacy-conscious way and do not use child-related care details for behavioral advertising.

11. Advertising and Tracking

At Ease Parent does not sell family care information.

At Ease Parent does not use child-related information for behavioral advertising.

At Ease Parent does not use AI data for third-party advertising or cross-app advertising tracking, as described in Section 4.

If At Ease Parent ever uses advertising, retargeting, or tracking technologies, we will update this Privacy Policy and any app store disclosures as required.

12. Data Retention

We keep personal information for as long as needed to provide At Ease Parent, comply with legal obligations, resolve disputes, maintain security, and enforce our agreements.

Account, household, child, caregiver, routine, handoff, and reminder information may remain active while the household or account is active.

If you delete your account or request deletion, we will take reasonable steps to delete or de-identify your personal information, unless we are required or permitted to keep it for legal, safety, fraud prevention, backup, dispute resolution, or legitimate business reasons.

Some information may remain in backups for a limited period before being deleted through routine backup cycles.

If a caregiver leaves a household, some past handoff records may remain visible to the parent or household admin as part of the family's care history, unless deletion is requested and legally permissible.

For information processed by third-party AI providers, retention may depend on the applicable provider agreement, service configuration, and provider privacy or data-retention policies. We do not state a fixed third-party retention period unless it has been verified for the specific service configuration. See Section 4 for details.

13. Your Choices and Rights

Depending on where you live, you may have rights to:

  • Access personal information
  • Correct inaccurate information
  • Delete personal information
  • Request a copy of personal information
  • Restrict certain processing
  • Withdraw consent where applicable, including AI data-sharing consent (see Section 4)
  • Object to certain uses
  • Opt out of marketing emails
  • Manage notification settings
  • Enable or revoke AI data sharing from Settings → Privacy & AI
  • Delete your account

Parents or legal guardians may also request access, correction, or deletion of child-related information.

14. Account Deletion

Users may request account deletion by:

When an account is deleted, we will take reasonable steps to delete or de-identify personal information associated with that account, subject to legal, safety, backup, fraud prevention, and operational requirements.

Deleting your account or revoking AI data-sharing consent will stop At Ease Parent from sending new personal data to third-party AI services, as described in Section 4. Information already processed by third-party AI providers may be subject to those providers' retention practices.

If you are part of a shared household, deleting your personal account may not automatically delete the entire household or child-related information if another parent, guardian, or household admin remains responsible for that household.

Parents or household admins may request deletion of household or child-related information by contacting us.

15. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.

These safeguards may include:

  • Encryption in transit
  • Authentication controls
  • Role-based permissions
  • Restricted access to user information
  • Secure hosting providers
  • Monitoring and logging
  • Reasonable security review practices
  • Authenticated backend processing for AI-assisted features, with AI consent verified server-side before data is sent to an AI provider

No app, website, or digital service can guarantee complete security. Users should protect their login credentials, use strong passwords, and invite only trusted adults into their family plan.

16. Third-Party Services

At Ease Parent may use third-party services to operate and improve the app.

These may include:

  • Cloud hosting
  • Authentication
  • Email delivery
  • Push notifications
  • Analytics
  • Crash reporting
  • Payments
  • Customer support
  • App development infrastructure
  • Third-party AI providers (OpenAI, Anthropic via Base44, and Base44 AI Services), used only as described in Section 4
  • Text-to-speech narration (ElevenLabs) for the Readiness Library Read Aloud feature, as described below

These third-party providers may process information according to their own privacy policies and contractual obligations. We do not represent that third-party AI providers provide the same or equal protection as At Ease Parent unless specifically supported by applicable agreements or provider documentation.

Readiness Library Read Aloud (Text-to-Speech)

The Readiness Library includes a "Read Aloud" feature that generates spoken audio narration of published educational articles. At Ease Parent uses ElevenLabs as a third-party text-to-speech provider for this feature.

When you use Read Aloud, only the published Readiness Library article content needed to produce the narration is sent to ElevenLabs. At Ease Parent does not intentionally send child profiles, family information, journals, handoffs, account details, or other personal family data to ElevenLabs for article narration. ElevenLabs is used to provide the requested Read Aloud functionality.

Because Read Aloud sends only published At Ease Parent article content and not your personal information, it is not part of the AI data-sharing consent described in Section 4. If Read Aloud is ever expanded to include user-generated or personal content, that will be reassessed and disclosed before shipping.

We do not make claims about ElevenLabs' retention, model training, deletion, or data protection practices beyond what is verified from the provider's published terms and policies.

17. International Users

At Ease Parent is operated from the United States.

If you access the app from outside the United States, your information may be transferred to, stored in, or processed in the United States or other countries where our service providers operate.

By using At Ease Parent, you understand that your information may be processed in countries with privacy laws that may differ from those in your location.

18. California, EU, UK, and Other Privacy Rights

Depending on where you live, additional privacy rights may apply under laws such as the California Consumer Privacy Act, the California Privacy Rights Act, the General Data Protection Regulation, the UK GDPR, or other privacy laws.

At Ease Parent will honor applicable privacy rights as required by law.

19. Do Not Sell or Share Personal Information

At Ease Parent does not sell personal information.

At Ease Parent does not sell child-related information.

At Ease Parent does not use child-related information for behavioral advertising.

At Ease Parent does not share AI data with third-party AI providers for advertising or cross-app advertising tracking, as described in Section 4.

If our practices change in the future, we will update this Privacy Policy and provide any legally required notices or choices.

20. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

This update clarifies how At Ease Parent handles AI-assisted data processing and third-party AI services, adds a dedicated Artificial Intelligence and Third-Party AI Processing section, and describes the user consent and revocation controls for AI features.

If we make material changes, we may notify users by:

  • Updating the "Last Updated" date
  • Sending an email
  • Posting an in-app notice
  • Providing another appropriate notice

Your continued use of At Ease Parent after the updated policy becomes effective means you accept the updated policy.
